How to Export Your Pipeline from Pipedrive (Step-by-Step for MSPs)
Pipedrive is popular with smaller MSPs because it is simple and visual. The pipeline view is clean, the deal cards are easy to drag, and the interface does not get in the way. But that simplicity also hides a problem. Pipedrive shows you what stage a deal is in, but it does not make obvious how long it has been there. A deal in "Proposal Sent" looks the same on day two as it does on day forty. Exporting your data is the fastest way to see which conversations have actually stopped, and it takes under a minute.
Why export your Pipedrive pipeline instead of just using the board view?
The Pipedrive board is designed for moving deals forward. It is not designed for spotting deals that have gone backwards — or sideways — into silence. When you look at a column of deals, your eye is drawn to the ones with recent activity, bright labels, and scheduled next steps. The quiet deals blend into the background. They are still there, still showing a value, still technically alive. But nobody is talking to them. Exporting breaks that illusion. A spreadsheet sorted by last activity date makes the silence impossible to ignore.
How to export your active deals from Pipedrive
These steps work on any Pipedrive plan, including the cheapest tier most MSPs start with.
- 1. Go to Deals. Make sure you are in the List View, not the Pipeline view. The list view shows columns you can sort and filter. If you are in Pipeline view, click the list icon in the top right.
- 2. Filter to open deals only. Click the filter bar and set Status to Open. This removes Won and Lost deals so you only see opportunities that are still technically live.
- 3. Add the right columns. Click the gear icon next to the column headers. Make sure these fields are visible: Title, Value, Stage, Owner, Last Activity, Next Activity, and Update Time. Update Time is Pipedrive's way of showing when the deal was last touched.
- 4. Sort by Update Time. Click the Update Time column header to sort oldest first. The deals at the top are the ones that have gone quiet.
- 5. Export to CSV. Click the three dots menu in the top right and select Export. Choose CSV. Pipedrive will email you the file within a few minutes, or download it immediately depending on your plan.
What to look for in your exported file
Open the CSV in Excel or Google Sheets. Sort by Update Time, oldest first. Now look for three patterns:
- Deals with no update in 21+ days. In most MSPs, three weeks of silence means the buyer has moved on or forgotten about you. These need a nudge.
- Deals with a blank Next Activity. If there is nothing scheduled, nobody is planning to talk to this prospect. The deal is drifting.
- Deals stuck in the same stage for 30+ days. Use the stage history or compare against previous exports. If a deal has been in "Proposal Sent" for a month, it is not progressing. It is rotting.
What to do once you have the export
You now have a list of deals that need attention. The hard part is deciding who does what and by when. In a small MSP, that person is usually the same person who was supposed to do it last time — and they are busy with a server migration or a support escalation. This is why pipeline hygiene fails. It is not a knowledge problem. It is a capacity problem.
Some teams build a Monday morning habit around this export. Others use a weekly monitor that checks the pipeline automatically and flags what needs attention before the week starts. Either way, the goal is to stop relying on someone remembering to follow up.

Frequently asked questions
Will exporting my deals change anything in Pipedrive?
No. Exporting creates a read-only copy. Your Pipedrive data stays exactly as it is.
How often should I export my pipeline?
At least once a week. Monthly is too slow — by the time you spot a stalled deal, it has often been quiet for six or eight weeks. Weekly gives you a fighting chance to recover it.
Can I see stage duration in Pipedrive without exporting?
Not easily. Pipedrive does not show "days in current stage" on the deal card in the basic plan. You need to open each deal individually and check the activity feed. Exporting is faster.
